Once in a while someone comes up with a great idea that makes all of our lives so much easier. One of my favorite ideas-come-true is Shoeboxed. I remember when they came out with new scanning softwares to scan all of your receipts and export them to your main accounting software. I thought that was neat….but then came Shoeboxed.

How It Works:
You open an account (choose a plan) and after filling out your information, you receive these blue PRE-PAID stamped envelopes (no stamps yeeh!). You stuff all your receipts in the envelope and put it in your outgoing mailbox. In a few days, you get a notification letting you know the envelope arrived at their offices safely. A few more days and you get a notification letting you know the contents of your envelope(s) are online. THAT SIMPLE!

 


Highlights:

It’s IRS-Approved. In case of an audit you can have all backup receipts that correspond to all those bank and credit card transactions, plus cash receipts in your Shoeboxed account.

 

It’s Mobile. You can take a picture of a receipt from your phone and upload it to Shoeboxed.

 

It’s shopping-friendly. Add your assigned Shoeboxed email to all your shopping accounts so online receipts go directly into Shoeboxed. (It even filters the coupons!)

 

It’s accurate and secure. Scanned data is human verified before posted to your account and the data encryption is equivalent to that of banks.

 

It’s Accountant friendly. Shoeboxed communicates with other accounting software: QuickBooks. Bill.com. Outright. Excel and others.

 

It makes Expense Reports a breeze! Have backup receipt images as part of your Expense reports. Use the data to invoice clients too! (Track Billable Expenses)

 

It’s tax-season friendly. It exports data to tax-filing applications.

 

It facilitates CRM. Mail in your business cards and export data to your address book or CRM application.

 

It’s a filing cabinet! In addition to the receipt section, it has a “Bills” section and a “Documents” section so you can mail your huge stack of papers/bills and have an organized virtual filing cabinet in minutes! Who doesn’t want that?! You may choose to have the receipts returned to you (neatly sealed in the envelopes) or have them recycle them.

 

It doesn’t require any effort on your part except for stuffing and mailing the envelopes or uploading an images of your receipts from your phone while on the go. It requires no equipment and saves you the boredom of scanning your receipts and documents and filing them.

 

I recommend it to all my clients and have signed up a number of them. It works magic for my “cash-only” clients and it’s a great addition to the other clients. I use it myself as an addition to the rest of my digital accounting for both my personal life and my bookkeeping business.
